The Logistics of Renting your Video Booth

Chances are, you’ve already checked out our “How it Works” page, but you want to get a little more assurance in your journey. Our goal is for everyone to have a five star experience with Voast and be the most convenient way to capture memories of a lifetime.

We’re back with Celia, our extraordinary logistics coordinator who makes sure you have a smooth journey from booking to return. We asked her to walk us through the whole process and what every client can experience in their booking with Voast.

What to expect from the point of booking to receiving your edit

So you’ve decided to book a video booth with Voast, Yay! We’re so excited to have you on board with us. At this point, you’re ready to place an order and may be wondering, what happens after I check outWhere do I submit my custom prompts? How will they know where to ship the video booth? How will I get my clips?

This post will cover all of these questions and more to help you gain a better understanding of what to expect from the point of booking to receiving your edit.

1. Book your Voast booth

Once you decide you’re ready to rent a video booth with us, you can head over to our checkout page to start the booking process. The checkout process will ask you questions about the type of event you are booking for (i.e. personal, or corporate), then it will take you down the appropriate path where you will be able to select features like.

  • How many video booths you want to rent

  • Rental duration - Standard, or Extended 

  • What type of edit you want - Story edit, or Pro edit

  • If you’d like to purchase a Video book with your rental

2. Fill out your Voast portal

Here is where the real collaboration between you and Voast begins! After you’ve placed your order and we’ve reviewed your booking details, you will receive a follow up email with a Customer Portal link. This portal is where you will submit all your video booth related preferences. Here are some things to have ready to complete your portal.

  • Cover image - This image will appear on the front screen of the video booth. Since it’s the first thing people see when they walk up to the booth we recommend an image that best represents the event or brand. You can also choose more than one image if you would like to have a slide show effect on the screen!

  • Custom prompts - You can choose up to 6 custom prompts for your video booth. You will have total creative freedom here, so if you’d like to choose all your own questions, or pick from the list of questions we have available, you can mix and match in whatever way you’d like.

  • Photo booth - If you’ve decided that you want to have the photo booth feature on your configuration, this is where you can tell us that you want to opt in for that!

  • Shipping and return addresses - There will be an area in the portal where you will be asked to submit both your outbound shipping address, return address, and contact information for the video booth delivery. If you plan on having different people handle the delivery and the return we ask that you add their contact information so that we can reach out to them if we need to, or if they need to reach us.

  • Video book shipping - If you purchased the video book at checkout, there will be another area to submit the shipping address that you would like the book to be delivered to after your event. Even if you want the video book delivered to the same address as your video booth, we do ask that you enter it again so that we can be sure we are sending it to the right place.

3. Receive your video booth 

We ship out our video booths on Monday to arrive to you by the Thursday before your event.

We ship all our video booths via UPS delivery, and we have found that most addresses do just fine with having the video booth delivered right to your door. We unfortunately can’t communicate any special access codes for your building, so please be sure to have your address registered in the UPS system with any special codes that the driver may need to drop off your package.

4. Return your video booth

Regardless of the rental duration you’ve chosen, we will need your video booth to be dropped off at a UPS location (or if you’d like you can schedule a pickup) by the Monday after your event. If you have found that there is a national holiday on the day that you need to return your video booth, then you can drop off the package the following day for return.

5. Receive your edit/clips

Once we’ve received your video booth back, we will process your return and send your clips right over to our editing team to start working on your edit. From when we receive your video booth back, you can expect to have your edit finished at about 4 weeks from that point. We will then email you a link to your edit as well as your raw clips.

If you did not purchase an edit, we will email you your clips as soon as we process your return.

6. Receive your video book (if applicable)

If you decided to purchase a video book with your order, we will ship out your video book loaded with your edit the Monday after your edit has been emailed to you. At which point you can expect to receive your video book within two weeks after your edit has been finished.
